Terms of service
Version 2026-11-02, effective 2 November 2026.
These terms are an agreement between you and Cortex Digital Pty Ltd("we", "us"), the Australian company that operates AllNow at app.allnow.com.au. They apply when you create an AllNow workspace and when you use a workspace you were invited to. If you do not agree to them, do not create or use a workspace.
Who agrees to these terms
- When you create a workspace, you agree to these terms for yourself and for the business the workspace is for, and you confirm you can agree for that business. That business is our customer.
- When you join a workspace by invitation, the business that invited you is the customer, and you agree to use AllNow under these terms.
- If your business accepts a quote from us, the service terms in that quote apply as well. Where the quote and these terms differ about fees, scope or notice, the quote applies.
The AllNow service
AllNow is a business reporting dashboard. Your workspace connects the systems your business already uses, such as accounting, payroll, advertising, rostering, point of sale and CRM platforms, and shows that data to the people you invite. It includes Allan, an assistant that answers questions about your figures and sends alerts, and Ask, which answers questions about your data in words.
Accounts and workspace approval
- You sign up with your work email address, and we confirm you own it before anything is created.
- Each confirmed email address can create 1 self-serve workspace.
- Our team approves each new workspace before it is built, and we can decline a request.
- Keep your sign-in details to yourself. Everyone who signs in with an email and password must also enter a 2-step verification code each session.
- Workspace owners choose who they invite and what each person can see, and are responsible for how the people they invite use the workspace.
14-day free trial
- A new self-serve workspace starts with a 14-day free trial. You do not need a card to create it. The trial is for trying AllNow, and we can end it early if it is misused.
- Your quote, with the price, is in Settings, Free trial and quote. To keep using the workspace after the trial, accept the quote and add card or direct debit details.
- If the trial ends without an accepted quote, the workspace pauses after a grace period that the workspace shows. A pause deletes nothing and syncing carries on, and accepting the quote reopens it.
- We can limit how much AI chat a trial workspace uses each month.
Fees, renewals and payment
- Fees are set out in the quote you accept. Prices are in Australian dollars and exclude GST unless the quote says otherwise.
- Your subscription renews automatically each billing period until you or we end it, and monthly fees are billed in advance.
- We take payment by card or direct debit through Stripe, our payment processor, or by invoice where we have agreed to invoice you.
- If a payment fails or a fee is overdue, the workspace shows a notice, and if it stays unpaid we can limit or suspend access until it is paid.
- Either of us can end the paid service with 30 days written notice. Fees for service already delivered stay payable.
- Fees are not refundable, except as these terms say or as the Australian Consumer Law requires.
Price changes and cancellation
- We can change our prices, including during a billing period, for example to pass on higher costs from the AI model, data, hosting or connector providers AllNow relies on.
- We tell workspace owners and admins by email, and in the workspace, at least 14 days before a new price applies to you.
- If you do not accept a price change, you can cancel before it takes effect, with no penalty, and we refund any fees you paid in advance for the period after the cancellation.
Acceptable use
Use AllNow only for your business's own reporting, and only in ways the law allows. Do not:
- connect a system or account you are not authorised to connect
- try to reach another customer's workspace or data, or test our security without our written permission
- get around a usage limit, a security check or 2-step verification
- copy, resell or rent out AllNow, or use it to build a competing product
- send malware, spam or unlawful content through AllNow, including in invitations or messages to Allan
- use AllNow in a way that harms its availability for other customers, such as automated scraping
Your data and privacy
- Your business data stays yours. You give us permission to copy, store and process it only to provide, secure and support AllNow for you.
- We do not sell your data, use your business data to train AI models, or show it to another customer.
- You are responsible for having the right to share the data you connect, including personal information about your staff, clients and customers held in your accounting, payroll and CRM systems, and for any notices or consents the law requires for that.
- How we handle personal information is set out in our privacy policy (version 2026-11-03).
- When you agree to these terms, we record your account, the versions of these terms and the privacy policy you were shown, and the time.
Data processing and service providers
- You control your business data. We handle the personal information in it on your behalf and on your instructions, which are these terms and your use of AllNow. In data protection terms, you are the controller and we are your processor.
- Your workspace data is stored in Australia. Some of it is processed overseas, including in the United States, by the service providers listed in our privacy policy, for example for email, error reports, product analytics, security checks and payments.
- By using AllNow you agree to that processing and to our use of those service providers. The list can change: we update the privacy policy and email workspace owners at least 14 days before a new provider handles your data.
- We protect your data with security measures suited to it, and we tell you about a data breach that affects it as the law requires.
Connected third-party services
- AllNow reads data from services you connect, such as Xero, Google and Meta, using the access you grant on their own consent screens. Their terms apply to your use of them.
- We are not responsible for a connected service's availability, accuracy or changes. If a service changes or withdraws access, the data AllNow shows from it can stop updating.
- Disconnecting a service deletes its stored credential straight away and stops further collection.
Allan, Ask and AI answers
- Allan, Ask and AI chat write their answers with AI models run by third-party AI providers. To answer a question, AllNow sends the provider the question and the figures needed to answer it.
- We do not use your data to train AI models, and we do not let our AI providers train their models on it.
- AI answers can be wrong or incomplete, even when they look precise. They are not financial, tax, legal, accounting or investment advice. Check figures against your own systems, and get professional advice, before you rely on them.
- You are responsible for the decisions you make using AllNow and its answers.
Beta and preview features
Features we mark as beta, preview or early access are offered as is, with no service level. They can change or end at any time, and may never become generally available.
Changes to features and plans
- AllNow will grow, so we can change, add or remove features, modules, connectors and plans.
- If a change removes something your plan includes, we tell workspace owners at least 14 days before, and you can cancel before it takes effect with a refund of any fees paid in advance for the period after the cancellation. When a provider withdraws a connector's access, we tell you as soon as we can.
Availability and support
- We work to keep AllNow available, but we do not promise it will be uninterrupted or free of errors. No service level applies unless your quote sets one.
- We can pause AllNow for maintenance or to protect it and its customers.
- For help, email support@allnow.com.au.
Suspension and closure
- You can stop using AllNow at any time. Delete your account yourself at Settings, Your account, Delete my account. An owner closes a self-serve workspace at Settings, Close workspace, once its fees are paid: everyone loses access straight away, Xero is disconnected, the period already paid runs out with no refund and nothing more is charged, and the owner can reopen it for 30 days (billing then starts a new period that day), after which we delete it and its data. A workspace billed by invoice, or on a fixed term running past its current period, is closed by support. For any other workspace, follow our data deletion steps.
- If nothing is connected to a new self-serve workspace in its first 14 days and there is no card on file, we pause it on day 14. If it is still paused 30 days later, we can delete it and its data, disconnecting Xero first. We email the owner before each step, and connecting a data source or adding a card reopens it.
- We can suspend a workspace or an account straight away if it is misused, if it puts AllNow or other customers at security risk, or if the law requires it, and we tell the owner as soon as we can.
- We can close a workspace if fees stay unpaid or these terms are seriously broken, after telling the owner and giving them time to fix the problem.
Export and deletion on exit
- Your original records stay in the systems you connected. AllNow keeps a copy to report on.
- While your workspace is open, you can download a panel's figures as a CSV file where the panel offers it. An owner or admin of a self-serve workspace can download all its figures and settings at once as CSV files at Settings, Data export; financial figures are included for people who can see all financials.
- If you need a copy of anything else AllNow holds, email support@allnow.com.au before your workspace closes and we will tell you what we can provide.
- We delete a closed workspace's data as our privacy policy describes. Privacy requests go to privacy@allnow.com.au.
Warranties and consumer guarantees
- Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms excludes, restricts or changes those guarantees, or any other right the law gives you that cannot be excluded. Where the law lets us limit our liability for failing to meet a guarantee, our liability is limited to supplying the services again or paying the cost of having them supplied again.
- Apart from those guarantees, AllNow is provided as is and as available, and we give no other warranty, express or implied, including that it will meet your needs, that its data or AI answers will be accurate or complete, or that it will be uninterrupted or free of errors.
Limits on our liability
To the extent the law allows:
- we are not liable for indirect or consequential loss, or for lost profits, revenue, savings, goodwill or data, however it arises
- we are not liable for loss caused by a connected service, by information you gave us, or by relying on an AI answer you did not check
- our total liability for all claims under or about these terms is limited to the fees you paid us for AllNow in the 12 months before the event that gave rise to the first claim, or A$100 if you paid nothing in that time
These limits do not apply to liability the law does not allow us to limit, such as for fraud.
Customer indemnity
Your business will cover our losses and reasonable costs from a claim by someone else that arises from your data (including that you had no right to share it with us), from you or the people you invite breaking these terms or the law, or from your use of a connected service against its terms. This does not cover loss to the extent we caused it.
Changes to these terms
- When we change these terms, we publish the new version here with a new effective date.
- For a material change, we tell workspace owners and admins by email, and in the workspace, at least 14 days before it takes effect. A change the law requires, a change for security, or a change that does not disadvantage you can take effect straight away.
- Using AllNow after a change takes effect means you accept it, and we ask everyone who uses a self-serve workspace to agree to the new version the next time they open it.
- If a material change disadvantages you, you can cancel before it takes effect, with no penalty, and we refund any fees you paid in advance for the period after the cancellation.
Governing law
These terms are governed by the laws of New South Wales, Australia, and the courts of New South Wales can hear any dispute about them.
